如何寫好英文郵件
盡管已經有了更多的溝通工作,但對于商務交流來說,郵件仍然是最為主要的方式。也許是疏于鍛煉,所以很多人覺得,寫英文郵件是件令人頭疼的事。
英孚教育職業發展部Annie老師將向大家介紹幾條商務郵件寫作小技巧,幫助您撰寫出出色郵件。
1) K.I.S.S. (Keep it simple, stupid!) – People have lots of emails to read every day. Make sure your emails are easy to understand and have clear actions.
K.I.S.S.原則——盡量簡潔。人們每天要接收大量郵件,所以確保你的郵件簡單易懂和思路清晰。
例如,如果是要求開會,就不需要過多的鋪墊,直接寫明時間、地點等主要因素就夠了。
Meeting Request: Let’s have our weekly meeting on Feb 18th , at 10:30 AM in Meeting room.
@Lisa, could you please take the meeting minutes this time.
@Chris, please buy some snacks and drinks for each person.
訂于2月18日早上10:30在2號會議室開周例會,請Lisa做會議紀要,請Chris為每個人準備點心和飲品。
2) Who are you? What do you want– Make sure you introduce yourself clearly and concisely and let the reader know why you are writing to them.
寫英文郵件時,記得介紹自己、說清你想要什么——務必簡明扼要地自我介紹,使收件人了解郵件的目的。
例如:Jane作為上海區域經理加入了A公司,她整理了客戶資料后給John發了一封郵件:
Hi John, Hope this mail finds you well. I am Jane, SH regional manager from A; I’m contacting you today regarding our upcoming collaboration.
你好John,見信安好。我是A公司的上海區域經理Jane。這封郵件是關于接下來雙方合作的事宜。
3) Clear Subject Lines – Ensure that your subject line gives clear direction so the email can be easily identified.
醒目的標題。務必使收件人看完標題后一目了然。
范例:市場部員工小美去電視臺采訪,偶遇老同學,順便為公司談了一個合作,她回到辦公室給老板發郵件,題目是Potential marketing recourse with xx TV的郵件。
有時候,一個標題就可以說清楚郵件內容,甚至正文都可以免了。
4) Highlight key information , then give more requires – If you have timeline for what needs to be done, make both of them clear.
強調關鍵信息,再闡明具體要求-如果你需要他人在時間期限內完成某事,請清晰明了地表達對時限和任務的要求。
例如:HR小琪給剛入職的Bruce發郵件: It is VERY IMPORTANT that we go through the visa procedure soon tomorrow . Please MEET with me at 13:00 on the 7th floor of the office for this to be done.
明天最重要的是簽證手續盡量早點辦完,請在下午1:00到7樓的辦公室與我見面。
5) Top-Down Communication – Make sure that the most important information is included towards the top of the email.
根據信息的重要程度由上而下的溝通—確保把最關鍵的信息在郵件中置頂。老外喜歡開門見山,但單刀直入,郵件中要盡量避免過多不必要的寒暄,確保最重要的信息最先被對方知曉。
例如:老板發郵件給市場全體員工說明市場部主管Jane延遲入職的原因。
Jane will not be able to join us until March 15th. This is because of the rules surrounding her current contract. She will still be able to join us for the seminar on the Feb. 8th.
因為Jane目前合同一些條款的規定,在3月15日之前不能加入我們。她仍然會在2月8日參加我們的研討會。
6) Signatures – Make sure your signature includes your business area, title, department and contact information , which can identify clearly who you are.
署名信息到位-確保你的署名包含你的業務領域,部門信息,頭銜以及聯系方式,以便收件人更清晰地了解你。
例如:
